- Venue Coordination Meeting: Wednesday, 5/6 during the Student Club Working Meeting. (In-person coordination only; online participation is not available. Clubs requiring venue coordination must attend the physical meeting in Room 101, Meng Min-wei Building).
- Venue Application Period: Please submit your activity application via the Student Club System by 12:00 PM on Friday, 4/24. You may only apply for a venue after your activity application has been approved. Venue applications will close at 12:00 PM on Monday, 5/4.
Clubs with venue conflicts that require coordination will be listed in an updated announcement on the Division of Student Activities website on the afternoon of 5/5, and a notification email will be sent to the club presidents. During the coordination meeting, clubs with conflicts will be called by name. The name will be called three times; failure to respond will result in the forfeiture of coordination rights.
Explanation of Venue Coordination for Spaces Managed by the Division of Student Activities:
- Definition: The Division of Student Activities announces the venue application schedule prior to the coordination meeting. Clubs apply for venues within this specified timeframe. If two or more clubs apply for the same venue for the same time slot, they will be placed on the venue coordination list.
- Time: Held during the Student Club Working Meetings in May, September, and December (exact dates are subject to official announcements). Clubs with venue conflicts will be updated in the venue coordination announcement.
- Procedure:
- During the coordination meeting, the Division will call the club's name three times. Clubs with venue conflicts are asked to come forward to coordinate.
- For example, if clubs A, B, and C have a venue conflict and club A is absent, club A automatically forfeits its coordination eligibility. The coordination will then proceed with the attending clubs, B and C.
- If club B successfully secures the venue and club C does not, but another venue happens to be available with no other applicants, the venue administrator will provisionally reserve that available space for club C. Club C must then log into the system to officially apply for this new venue within 5 working days after the coordination meeting. Failure to apply before the deadline will be considered a forfeiture.
