Handover Procedures for Club Directors of the 114th Academic Year [From Tuesday, May 6th to Friday, June 27th, at 4 PM]

  • By the "Guidelines for Student Club Activities and Counseling" of National Tsing Hua University.
  • The handover process for club directors for the 114th academic year will be conducted from Tuesday, May 6th, to Friday, June 27th, at 4 PM. During this period, all clubs must carefully read the file titled "SOP for Student Club Leadership Handover for the 2025 Academic Year(1)*" and complete the handover procedures in the club system. The handover form generated by the system (please print double-sided) must be signed by the new director and the club advisor, stamped with the club seal, and submitted along with the "Agreement Form for Club Advisors of the 114th Academic Year(2)*" to the Division of Student Activities (DSA) at the main campus.
  • If your club will be appointing or reappointing a new advisor for the 114th academic year, please also submit the following documents:
  1. Club Advisor Commitment Form*(3)
  2. Club Advisor Information Card (please print double-sided)*(4)

  • Important Notes:
  1. The files marked with an asterisk (*) can be downloaded from the Important Announcements section of the Division of Student Activities' website.
  2. If you are unable to complete the handover by the deadline for special reasons, please submit an online report detailing the reasons and the expected submission date by 4 PM on Friday, June 13th. Please note that the latest possible submission date is 4 PM on Friday, July 25th.

Even if the director wins re-election or has already completed the handover, the handover form and "Agreement Form for Club Advisors of the 114th Academic Year*" should be submitted to DSA.

  1. After the handover form is approved, the director's authority in the club system will automatically transfer to the new director.

*Note: The system updates at midnight daily.

  1. Article 32 of the Guidelines for Student Club Activities and Counseling【Other Dispositions】If the handover form is not submitted without reason during the handover announcement period, the club will be considered dissolved.
