Guidelines for the 2nd Outstanding Club Subsidy of 2026
Please read the following instructions carefully before submitting your application:
I. Eligibility NTHU student clubs (including interest groups/hobby clubs).
II. Application Period From April 17, 2026 to May 31, 2026 (Sun) 23:59.
III. Subsidy Scope

Eligible Categories: Joint activities, benchmark learning, empowerment lectures, intercollegiate competitions, SDGs activities, club anniversary exhibitions and series events, international exchanges, and the purchase or repair of equipment/materials.

Note on Equipment: Purchases or repairs should ideally be tied to specific activities. Please detail the purpose and ensure there is an actual need before applying.

Eligible Event Dates: Only activities held between July 1, 2026, and December 6, 2026, will be reviewed. Do not apply for activities outside this period.
IV. How to Apply Submit an Online Report (線上報告) via the Club System before the deadline.

V. Evaluation Principles

Innovation, creativity, and visibility of the proposed activities.

The club's performance in this year's Annual Club Evaluation.

The club's general routine performance.
VI. Important Notices
-
Lecturer Fees: For speeches, lectures, or special training, the "Lecturer Hourly Fee" applies only to non-club advisors. If the lecturer is your club advisor, please apply under the "Club Advisor Fee" category.

Your proposal must state the lecturer's name and clarify if they are the club advisor. Unclear applications will not be subsidized.

Public Speeches (must be publicly promoted and open to everyone; promotional proofs required during reimbursement):

External Lecturer: Max 2,000 NTD/hour.

Internal Lecturer (NTHU faculty/staff/student): Max 1,000 NTD/hour.

Non-Public Speeches (e.g., internal training, closed winter/summer camps): Max 800 NTD/hour.

Equipment Purchases: For items with a unit price of 6,000 NTD or more, a quotation must be attached to the application. Before reimbursement, please contact your DSA counselor to register the item as university property.

Budgeting: Please estimate your budget honestly and accurately. Do not inflate the budget or intentionally apply for unallowable expenses.

Penalties for Past Behavior: The following factors from 2025 and the first half of 2026 will severely impact your current review and may result in reduced or canceled subsidies: incomplete budget execution (e.g., canceled events, failure to handover budget info), inflated budgets, intentional unallowable expense applications, and late reimbursements.

Cancellations: If an approved activity must be canceled, you must submit an Online Report to cancel the subsidy before the original event date. Failure to do so will negatively impact your routine evaluation score and future subsidies.

Reimbursement Compliance: How well you handle expense write-offs (timeliness, complete receipts, and attachments) is a key factor in your club's routine evaluation score.

Activities Generally NOT Subsidized:
-
Events that charge a registration fee (except for charity/public welfare events). If you have special reasons, please explain in detail.

Purely recreational events (e.g., welcome/farewell parties, club trips, Christmas parties).
-
Recruitment activities.
-
Clubs that failed to complete the 2026 Tsing Hua Win (清華贏) officer training (unless formally exempted by DSA via an approved Online Report).

Regular club classes (General assemblies/sessions). However, off-campus regular classes can apply for activity fees. (If the off-campus lecturer is your advisor, apply via the Advisor Fee process).

VII. Reimbursement Instructions (Expense Write-off)

Large-scale Activity Application: For every subsidized activity, you must submit a "Large-scale Activity Application" in the Club System at least 2 weeks prior (or 1 month prior if alcoholic beverages are served). DSA may cancel subsidies for non-compliance.

Deadline: Generally within 2 weeks after the activity ends. For December activities, you must strictly follow the university's year-end accounting schedule.

Reimbursement Process:

Final Report: Write a "Project Closure Report" (including event process, at least 2 photos, and income/expense statement) and upload the digital file to the Club System.

Submit Documents: Submit qualified original receipts and relevant attachments (e.g., train tickets, dining lists, business trip applications/reports) to your DSA counselor.
